Organising a Corporate Summer BBQ

Summer is just around the corner which means that BBQ season is here. Many companies enjoy treating their employees or clients to summer events and a corporate BBQ is a great way to celebrate your team’s achievements and boost morale.

Organising a large event like a Summer Corporate BBQ can be challenging but don’t worry, we have put together some tips to help you prepare a corporate BBQ like a pro.

Pick a Date & Time

The first thing you need to decide is when you are going to have your event. Will it be a mid-week event or are you planning on having it on the weekend? A great way to get an idea of when a good time for everyone might be is to send out a survey to all departments with a couple of date options and ask them when would work best. Form here you can pool together the answers and pick the date that suits most people. This will ensure you don’t organise the event on a day that no one in work is available.

Decide on the Style of Event

When planning the event consider what style of corporate party you are looking to have. Will you be just inviting staff, maybe asking some of your clients to come or do you want to make it a family event and invite spouses and children as well? This will have an impact when you are choosing your venue and budget, as you need to make sure there will be enough room for everyone.  When planning your event, you might also want to decide if you want to have a theme whether that be tropical or carnival. This will need some extra planning with decorations and letting everyone know beforehand.

Choose a Venue

Once you have decided on your day and style of event, it’s time to start looking for a venue. Making sure you have enough space at your venue for everyone to be able to move around and enjoy the day. If you are planning on having any activities, you want to make sure that there will be enough room for these also. Looking for somewhere that has some outdoor space to enjoy the sun and BBQ atmosphere is a good idea. Make sure to have a back up indoor space so that if the weather turns bad you are covered.

Entertainment

The next thing to decide once you have picked your venue is what type of entertainment you would like. Are you going to get a DJ or band to play some great summer tunes or maybe just get someone to make a great playlist. If you are holding a family day and inviting children to your BBQ, you might want to look at hiring a children’s entertainer to keep them happy thorough the day. A corporate BBQ isn’t just about eating, it’s about getting to know your colleagues better and creating memories. You might want to plan some activities or hire some summer games for people to play and enjoy.

Send the Invites 

Now that you have planned everything for your BBQ, the next thing you need to do is send out the invitations and get everyone excited for the day. Make sure you give everyone at least a month’s notice so they can get prepared for the day. Everyone will love having some time to spend together enjoying some great food and drinks in the sunshine.
